2. Personal Data We Collect

Job Applicants & Workers

When you apply to join our team, we collect:

Full name, email address and phone number
University, college or place of study (where provided)
Availability and work preferences
Work experience and relevant skills
CV / résumé (if submitted)
Right to work documentation (passport, BRP or equivalent)
National Insurance number (collected at onboarding stage only)
Bank account details (for payroll purposes, collected at onboarding stage only)

Clients & Event Organisers

When you contact us to book staff, we collect:

Your name and company or organisation name
Email address
Event details (date, location, number of staff required)

Website Visitors

When you visit atlasworkforce.co.uk, our hosting provider (Netlify) may automatically collect:

IP address and approximate location
Browser type and device information
Pages visited and time spent on site

We do not use tracking cookies or third-party analytics on our website.

3. How We Use Your Data

Job Applicants & Workers

To assess your suitability for work with Atlas Workforce
To contact you about shifts, bookings and work opportunities
To verify your right to work in the UK (legal obligation)
To process payments for shifts worked
To maintain accurate staffing records

Clients

To respond to your enquiry and provide a quote
To arrange and confirm staff bookings for your events
To send invoices and manage payments

Legal Basis (UK GDPR)

Contract — processing necessary to fulfil our agreement with workers and clients
Legal obligation — right to work checks and payroll compliance
Legitimate interests — responding to enquiries and managing our staffing operations

4. How Long We Keep Your Data

Unsuccessful applicants: Up to 6 months after a final decision, then securely deleted
Workers (active): For the duration of the working relationship plus 6 years (for tax and payroll compliance)
Payroll records: 6 years from the end of the relevant tax year, as required by HMRC
Client enquiries: Up to 2 years after last contact
Right to work documents: For the duration of the engagement plus 2 years, in accordance with the Immigration, Asylum and Nationality Act 2006

5. Who We Share Your Data With

We do not sell or rent your personal data to third parties. We may share data with:

Netlify — our website hosting and form submission provider (data processed in accordance with their privacy policy)
Google Workspace — used for internal communication and document storage
HMRC — as required by law for payroll and tax reporting
Client organisations — limited worker information (name, contact details) shared as necessary to arrange event staffing

All third-party providers are required to handle your data securely and in compliance with UK data protection law.
